Challenge
A large federal agency needed a way to quickly communicate and fill critical vacancies but suffered from limited advance visibility into upcoming needs. Stakeholders were typically notified only when vacancies were publicly released—often on or near the desired start date—leaving little time to secure qualified candidates. As a result, mission-critical placements were frequently delayed.
Approach
HRG used our agile, user-centered approach to rapidly and efficiently develop a streamlined tool addressing the agency’s challenges. Over a fast-paced 60-day timeline, we worked closely with stakeholders to define requirements, test key features, and ensure a smooth rollout. Our efforts focused on four areas to drive speed, usability, and impact:
Mapped pain points and aligned on requirements: We engaged key stakeholder groups to identify current pain points and define detailed requirements. Our team then created a technical execution plan, wireframe mock-ups, and an outline of the proposed system architecture, adapting elements as needed based on feedback.
Rapidly developed a scalable MVP: Using advanced tools within the client’s approved technology stack, we delivered a robust MVP within 30 days.
Tested thoroughly and refined based on user feedback: We ran sprint-based testing, end-to-end validation, and user acceptance testing to ensure performance and scalability. Tester usability scores were strong – ranging from 4.6 to 4.9 (out of 5) across key tasks.
Equipped users for successful adoption: We created tailored onboarding content—including guides, videos, and FAQs—and built dashboards for program managers to monitor usage, surface issues, and track key metrics in real time.
Impact
The tool transformed a reactive model into a forward-looking, tech-enabled process. It meaningfully improved the organization’s ability to proactively manage their process by allowing designated personnel to submit anticipated needs well in advance of formal posting.
